To build a Looker Studio marketing dashboard, decide who will read it, agree five to eight KPIs, connect GA4, Google Ads, Search Console and a CRM export through one reusable data source each, add calculated fields for CPL and conversion rate, and design a one-page summary before any channel detail. Then govern access and data freshness.
This guide covers the free product and the paid Pro tier, connectors, GA4 quota errors, blending, calculated fields, page design, CRM data and a build plan. Note on naming: Google rebranded Looker Studio as Data Studio in April 2026. Most marketers still search for the old name, so we use both here; the product and its features are the same.
Key takeaways
- Start from decisions, not data: each page should answer one audience’s question, and the first page should fit on one screen.
- Use one shared, reusable data source per connector; duplicate GA4 data sources burn API quota and produce numbers that disagree.
- GA4 reports are bound by the GA4 Data API quotas, so heavy dashboards need owner’s credentials, extracts or a BigQuery export.
- Bring CRM outcomes (SQLs, pipeline, revenue) in through Google Sheets or BigQuery so the dashboard shows cost per qualified lead, not just clicks.
- Treat access, credentials and refresh schedules as governance decisions, documented alongside a metric dictionary.
What does recent data say about Looker Studio dashboards in 2026?
Three verified changes matter for anyone building dashboards this year. First, the name: the Data Studio release notes record on 16 April 2026 that Google “rebranded Looker Studio as Data Studio”. Second, Google’s Data Studio product page says that, as of November 2026, the core product is available at no charge for creators and viewers, while Pro is listed at $9 per user per project per month, with pricing varying by subscription length; check the current pricing page before budgeting. It also claims connections to more than 1,400 data sources.
Third, quotas. Google’s GA4 Data API limits and quotas page (last updated 26 October 2026) sets core quotas for a standard property at 200,000 tokens per property per day, 40,000 tokens per property per hour and 14,000 tokens per project per property per hour, with 10 concurrent requests. Analytics 360 properties get ten times these token limits. Every live GA4 chart draws on these pools.

Do you need Looker Studio Pro or is the free version enough?
For most SMB marketing teams the free version is enough to start. The About Data Studio Pro documentation lists what Pro adds, summarised below, plus the Looker mobile app, Cloud Customer Care eligibility and Gemini assistance. Pro offers a 30-day trial.
| Need | Free version | Pro |
|---|---|---|
| Reports, charts, connectors, blends, calculated fields | Yes | Yes |
| Content ownership | Owned by the individual Google account that created it | Owned by the organisation, tied to a Cloud project |
| Team spaces and roles | Sharing with individuals and groups | Team workspaces with defined roles |
| Scheduled delivery and alerts | Basic email scheduling | Up to 200 schedules per report, Chat delivery, chart alerts, hourly schedules |
| Security and compliance | Standard Google account controls | CMEK, customer-managed storage, data residency |
| Worth paying when | Small team, single owner | Many owners, staff turnover, regulated data |
The strongest reason to pay is ownership. In the free version, if the employee who built the reports leaves and their account is deleted, the reports and data sources can go with it. On the free tier, build from a shared company account.
Which connectors should a marketing dashboard use?
Google’s own connectors cover GA4, Google Ads, Search Console, Sheets, BigQuery and many databases. For Meta, LinkedIn and most CRMs you will use either a partner (community) connector or a scheduled export into Sheets or BigQuery. The community connectors documentation explains that anyone can build one with Apps Script. Many partner connectors carry their own fees and data-handling terms, so read them before connecting customer data. Refresh defaults below are from the manage data freshness page.
| Connector | Best for | Default freshness | Cost | Watch-outs |
|---|---|---|---|---|
| Google Analytics (GA4) | Sessions, key events, landing pages | Every 12 hours (1 or 4 hours optional) | Free | Data API quotas; no GA4 segments or comparisons |
| Google Ads | Spend, clicks, conversions, campaigns | Every 12 hours, fixed | Free | Fields change; check release notes |
| Search Console | Queries, pages, clicks, impressions, position | Every 12 hours, fixed | Free | Anonymised queries excluded; use bulk export for depth |
| Google Sheets | CRM exports, targets, offline spend, LinkedIn or Meta CSVs | Every 15 minutes | Free | Manual uploads break if column names change |
| BigQuery | GA4 export, GSC bulk export, CRM tables, joins at scale | Every 12 hours (1 minute to 12 hours optional) | Sandbox free within limits, then query and storage charges | Needs SQL skills and cost monitoring |
| Partner connectors | Meta, LinkedIn, HubSpot, Zoho and other platforms | Set by the vendor | Usually paid | Lock-in, privacy terms, outages |
How do you avoid GA4 API quota errors in Looker Studio?
Quota errors appear as messages such as “This property has issued too many requests in the last hour.” Google’s Data Studio troubleshooting guide shows a Token Usage dialog per chart and recommends:
- Use owner’s credentials so viewers share cached results.
- Consolidate data sources: one reusable GA4 data source.
- Reduce charts and avoid embeds on busy pages.
- Extract the data: an extract is a static snapshot of up to 100 MB and 750,000 rows (larger extracts are truncated), per the extract data documentation. If quota is already exhausted, wait up to 24 hours for it to reset first.
- Export GA4 to BigQuery and use the BigQuery connector instead.
The GA4 BigQuery Export help page says standard properties have a daily export limit of 1 million events, that the BigQuery sandbox is free within its limits, and that streaming export costs $0.05 per GB. In GA4 Admin, the Data API quota history report shows which users and apps consumed tokens, useful when a third-party tool drains the pool. If your GA4 tracking is still unsettled, fix that first with our GA4 setup guide, since no dashboard can repair missing key events.
How does data blending work, and when should you avoid it?
Blending joins data sources inside a report. According to How blends work in Data Studio, a blend can combine up to five tables, supports inner, left outer, right outer, full outer and cross joins, and only allows equality conditions. Blends cannot be reused across reports.
A typical marketing blend joins Google Ads cost to GA4 key events on Date and Campaign. It works only when campaign names match exactly in both systems, which is why consistent naming from our UTM tracking guide is a dashboard prerequisite. For larger or reusable joins, combine data in BigQuery or a Sheet instead.
Which calculated fields does a marketing dashboard need?
Calculated fields turn raw counts into the KPIs leaders actually discuss. One rule from the calculated fields function documentation catches many people out: a formula cannot mix unaggregated dimensions with aggregated metrics. Build ratios from aggregated values, as below. Field names will match your own data source.
Cost per lead (CPL)
SUM(Cost) / SUM(Leads)
Conversion rate (sessions to key events)
SUM(Key events) / SUM(Sessions)
Set the field type to Percent so it displays correctly.
Customer acquisition cost (CAC)
(SUM(Marketing spend) + SUM(Sales cost)) / SUM(New customers)
CAC needs CRM closed-won counts from a Sheet or BigQuery. Our marketing KPIs guide covers which costs to include.
Custom channel grouping with CASE
CASE
WHEN REGEXP_MATCH(Session source / medium, ".*(google|bing) / cpc.*") THEN "Paid search"
WHEN REGEXP_MATCH(Session source / medium, ".*(linkedin|facebook|instagram) / (paid|cpc).*") THEN "Paid social"
WHEN REGEXP_MATCH(Session medium, "organic") THEN "Organic search"
WHEN REGEXP_MATCH(Session medium, "email") THEN "Email"
ELSE "Other"
END
Use this when GA4’s default channel groups do not match how your team reports. Test each branch in a table before using it in charts.
How should you design a marketing dashboard people actually use?
Good dashboard design is mostly restraint:
- One audience per page.
- One-screen summary first. Scorecards for the five to eight KPIs, each with a comparison to the previous period or target.
- Trend under every headline. A 13-month or 12-week series gives context.
- Breakdowns last. Channel and campaign tables go lower or on their own page.
- Consistent controls. One date control and one channel filter, in the same place on every page.

What should a marketing dashboard blueprint include?
This page blueprint is Bargaon’s editorial model. Start with the executive page and add the others only when a named person will use them.
| Page | Audience | Core metrics | Main sources |
|---|---|---|---|
| 1. Executive summary | Founder, CMO, leadership | Spend, SQLs, cost per SQL, pipeline, CAC versus target | Ads connectors, CRM via Sheets or BigQuery, targets Sheet |
| 2. Channel performance | Paid media and channel owners | Spend, CTR, CPC, key events, CPL by campaign | Google Ads, Meta and LinkedIn via partner connector or Sheets, GA4 |
| 3. Funnel and lead quality | Marketing and sales leads | Stage conversion from session to won | GA4, CRM export, form data |
| 4. SEO and content | SEO and content team | Clicks, impressions, CTR, position, organic key events | Search Console, GA4, optional GSC bulk export |
| 5. Ecommerce (D2C only) | D2C growth and ops | Revenue, orders, AOV, conversion rate | GA4 ecommerce events, store or BigQuery tables |
For D2C metrics see our ecommerce KPIs guide. For how the funnel page connects to sales capacity and pipeline reviews, see revenue operations.
How do you bring CRM data from HubSpot or Zoho into the dashboard?
Marketing dashboards without CRM outcomes reward cheap leads. The low-cost route is a scheduled export: HubSpot’s export records article and Zoho’s export CRM data article explain how to export records to CSV or Excel, which you paste into a fixed-format Google Sheet tab. Keep a stable column layout so the connector does not break, and move to BigQuery as volume grows.
Carry UTM values into hidden form fields, and strip names, emails and phone numbers before data reaches a shared Sheet. Under India’s DPDP framework, which is being phased in, aggregated reporting is safer; take legal advice. Setup details for each CRM are in our HubSpot CRM guide and Zoho CRM guide.
How do you choose the right data path for each source?
Choosing how each source reaches the dashboard
Default for GA4, Google Ads and Search Console with a small audience.
When GA4 charts hit quota and daily data is enough.
CRM exports, targets and platforms without a free connector.
Many joins, long history or row-level GA4 data.
Only when manual exports cost more time than the fee.
How should you govern access, sharing and data freshness?
The connectors and credentials documentation explains the core trade-off. Owner’s credentials let viewers see data they cannot access directly, which saves GA4 quota but means you must trust everyone you share with. Viewer’s credentials require each viewer to have access to the underlying data. Use viewer’s credentials for anything exposing row-level CRM data.
- Own data sources from a company account or Pro workspace, never a personal one.
- Share with Google Groups rather than individuals, and review access each quarter.
- Set freshness to fit the decision. GA4’s data freshness article says daily data for standard properties typically takes about 12 hours and processing can take 24 to 48 hours, so hourly refresh rarely helps.
- State sources and refresh rate in a text box on each page.
How do you make Looker Studio reports load faster?
Google’s performance guidance recommends adjusting freshness, using extracts, relying on caching, optimising source queries and, for BigQuery, using BI Engine or materialised tables instead of complex views. In practice, fewer charts per page, data-source filters and pre-aggregated BigQuery tables do most of the work.
What are the most common Looker Studio dashboard mistakes?
1. Building charts before agreeing definitions
What: Connecting sources before agreeing what a lead is.
Why it matters: The same KPI shows different values and trust collapses.
How to fix it: Write a metric dictionary: formula, source and owner per KPI.
2. One GA4 data source per report
What: Every new report gets its own embedded GA4 connection.
Why it matters: Duplicate sources waste quota and drift apart in calculated fields.
How to fix it: Create reusable data sources and connect reports to them.
3. Vanity metrics on the executive page
What: Impressions, followers and sessions lead the summary.
Why it matters: Leaders cannot link them to revenue decisions.
How to fix it: Lead with spend, cost per SQL and pipeline.
4. Ignoring attribution differences
What: GA4 and ad platforms report different conversion counts.
Why it matters: People pick whichever number flatters them.
How to fix it: Label each metric’s source and attribution logic; our attribution guide explains why they differ.
What does a worked example look like?
Hypothetical example: a 25-person B2B SaaS company runs Google Ads, LinkedIn Ads and SEO, uses HubSpot CRM, and wants cost per sales-qualified lead by channel.
- GA4, Google Ads and Search Console use native connectors, one shared data source each.
- LinkedIn spend goes weekly into a Sheet tab with fixed columns; a HubSpot contacts export, stripped of personal data, goes into a second tab.
- The executive page shows spend, SQLs and cost per SQL against a targets tab, with a 12-month trend.
- When GA4 charts hit hourly quota after wider sharing, the team switches to owner’s credentials and extracts the landing-page table.
What is a practical 30/60/90-day build plan?
Days 1 to 30: foundations
- Audit GA4 key events, tag setup via Google Tag Manager and UTM conventions.
- Agree the KPI list and metric dictionary with leadership.
- Create shared data sources and build the executive summary page.
Days 31 to 60: depth
- Add channel and SEO pages.
- Bring in CRM exports and targets via Sheets.
- Set credentials, sharing groups and freshness; add data notes on each page.
Days 61 to 90: scale
- Move to GA4 BigQuery export if quotas or history limits bite.
- Add the funnel page and a monthly review ritual.
- Decide on Pro based on ownership, delivery and compliance needs.

Frequently asked questions
Is Looker Studio still free?
Yes. As of November 2026 Google says the product, renamed Data Studio in April 2026, is free for creators and viewers; Pro is paid. Check the current pricing page.
Why does my GA4 dashboard show quota errors?
Live GA4 charts consume shared Data API tokens. Use owner’s credentials, fewer charts, extracts or the BigQuery export.
Can Looker Studio connect to Meta and LinkedIn Ads?
Not through a Google-built connector. Use a partner connector, usually paid, or scheduled CSV exports to Sheets.
How many data sources can I blend?
Up to five, joined on equality conditions only.
How often does Looker Studio refresh data?
GA4, Google Ads and Search Console default to 12 hours; Sheets to 15 minutes; BigQuery is configurable.
Should CRM data go in Sheets or BigQuery?
Sheets for low volume; BigQuery when you need history or many joins. Strip personal data either way.
